Creating Freight Invoices (EDI 210)

The Motor Carrier Freight Details and Invoice (EDI 210) is an electronic invoice sent by transportation carriers to shippers, consignees, or third-party payment centers to request payment for freight transportation services rendered. It includes shipment stops, billing parties, trailer specifications, lading descriptions, weights, and detailed line-item charges.

This guide walks you through creating, validating, and sending an EDI 210 transaction in the EDI Generator.

Pre-populating from a Received Load Tender

If you have already received and accepted the Load Tender in the EDI Generator, you do not need to enter all the fields manually:

  1. Navigate to the accepted Load Tender in your Inbox or Tenders (or Shipping > Tenders) list.
  2. Open the Load Tender formatted view, or click the three-dot action menu (⋮) at the end of the Load Tender row.
  3. Click Generate Freight Invoice (this option is only enabled after the tender has been accepted).
  4. The system will load the EDI 210 editor pre-populated with the billing party addresses, trailer specs, lading descriptions, weights, and routing info from the 204.

Creating an EDI 210 from Scratch

If you need to initiate a Freight Invoice manually without a pre-populated tender, follow these steps.

Scenario Context

  • Partner: C.H. Robinson
  • Invoice Number: INV-885412
  • Invoice Date: 2026-09-05
  • SCAC Code: RDWY (Roadway)
  • Shipment Identification Number (SID): SID-9954821
  • Vendor Number: VND-442211
  • Total Freight Charge: $1250.00

Start Invoice Creation

  1. In the side menu, navigate to Invoices under the shipping section (or Shipping > Invoices if nested).
  2. Click the Create button in the top-right corner.
  3. Select your partner (e.g., C.H. Robinson) from the dropdown.
  4. The editor will load the structure for the 210 document.

Beginning Segment details (B3 Segment)

The B3 segment contains the primary invoice number, dates, and payment methods. Click the B3 segment row to expand its fields:

  • Invoice Number (B302): Enter your unique invoice number (e.g., INV-885412).
  • Shipment Identification Number (B303): Enter the unique ID assigned by the shipper to this load (e.g., SID-9954821).
  • Invoice Date (B306): Select the date the invoice is issued (e.g., 2026-09-05).
  • Standard Carrier Alpha Code (B311): Enter your carrier SCAC code (e.g., RDWY).

Reference Identification (N9 Segment)

The N9 segment transmits vendor references.

  1. Expand the N9 segment.
  2. Reference Identification Qualifier (N901): Select IA (Internal Vendor Number).
  3. Reference Identification (N902): Enter your shipper-assigned vendor ID (e.g., VND-442211).

Route Information (R3 Segment)

The R3 segment specifies carrier routing.

  1. Expand the R3 segment.
  2. Standard Carrier Alpha Code (R301): Enter your SCAC (e.g., RDWY).
  3. Routing Sequence Code (R302): Select B (Originating Carrier).

Configure Party Details (N1 Loop)

You must specify the Shipper, Consignee, and Bill-To parties.

  1. Click the N1 Loop to expand it.
  2. Shipper (SH):
    • Entity Identifier Code (N101): Select SH (Shipper).
    • Name (N102): Enter the shipper name (e.g., C.H. Robinson).
    • Qualifier (N103): Select UL (GLN).
    • ID Code (N104): Enter the shipper’s 13-digit GLN.
  3. Consignee (CN):
    • Add another iteration to add the Consignee.
    • Entity Identifier Code (N101): Select CN (Consignee).
    • Name (N102): Enter the delivery destination name.
  4. Bill-To Party (BT):
    • Add another iteration to add the Bill-To.
    • Entity Identifier Code (N101): Select BT (Bill-to Party).
    • Name (N102): Enter the paying entity name.

Equipment Details (N7 Loop)

The N7 loop contains trailer information.

  1. Expand the N7 Loop.
  2. Equipment Number (N701): Enter your trailer number (e.g., TR-9954).
  3. Equipment Length (N715): Enter the trailer length in inches (e.g., 5300 for a 53-foot trailer).

Line Item Details (LX Loop)

The LX Loop contains the commodity lading details, quantities, and rates.

  1. Locate the LX Loop and expand to view its child segments/loops.
  2. Assigned Number (LX Segment):
    • Assigned Number (LX01): Enter 1.
  3. Lading Details (L5 Segment):
    • Click the L5 segment to expand.
    • Lading Description (L502): Enter the commodity name or description.
  4. Line Item Quantities & Weight (L0 Segment):
    • Click the L0 segment to expand.
    • Weight (L004): Enter the weight.
    • Weight Unit Code (L005): Select L (Pound).
    • Lading Quantity (L008): Enter the quantity.
    • Packaging Form Code (L009): Select PLT (Pallet) or CTN (Carton).
  5. Shipper PO Number (SPO Loop under LX):
    • Expand the nested SPO Loop.
    • Purchase Order Number (SPO01): Enter the original Purchase Order number.

Total Weight and Charges (L3 Segment)

The L3 segment contains the invoice totals.

  • Total Weight (L301): Enter the sum of all item weights.
  • Total Charges (L307): Enter the total invoice amount (e.g., 1250.00).

The segments and element rules detailed above represent a sample C.H. Robinson 210 specification scenario. Depending on your partner, the required qualifiers, loops, pattern validations, and mandatory elements can vary. The EDI Generator automatically aligns the editor form fields and validation rules to match whichever partner definition you select.

Validate, Save, and Send

  1. Click the Validate and Save button in the top-right corner.
  2. Correct any highlighted validation errors or missing mandatory fields.
  3. Once validation passes, click Send to transmit the 210 Freight Invoice.

After the 210 is successfully sent:

  • The status of the original Load Tender in your Tenders list will update to INVOICED.
  • The outbound 210 transaction will be logged in the Invoices list (or Shipping > Invoices if nested).

Generating and sending the freight invoice (210) is the final transaction in the standard logistics lifecycle. You can monitor the invoice’s acceptance status directly via the Functional Acknowledgment (FA) status icon in the Invoices or Outbox list view.
