Discover how Walmart’s EDI requirements help suppliers streamline communication and transactions, ensuring efficient and automated business operations through secure digital data exchange and standardized documents.

What is Electronic Data Interchange (EDI)?

In the modern business climate, streamlining procedures and simplifying communication among trading partners are critical to success. EDI (Electronic Data Interchange) is a secure, digital way for systems and partners to share vital business and transaction data. EDI has evolved as a powerful tool for changing how organizations connect, process orders, and exchange important information. This technique enables businesses to automate the transmission and receipt of information in the form of standardized documents. EDI communication between organizations is referred to as trading partnerships. Consider EDI as a standard electronic business language which enables trading partners to communicate swiftly and easily.

Walmart

Walmart is a globally recognized multinational retailer with over 10,000 discount stores, supercenters, discount department stores, grocery stores, and local markets. Walmart gives the retailer a competitive advantage through its extensive retail operations, which sell a wide variety of things including food, clothing, electronics, and household items.

Walmart & EDI

Walmart believes that its business partners must embrace EDI to maximize operational efficiency, cut operational expenses, and improve the overall consumer experience through supply chain streamlining and mistake reduction. The EDI mechanism is a standardized technique that helps Walmart electronically exchange corporate documents and data with its suppliers.

To improve operational efficiency and communication across the supply chain, it is typically necessary to be EDI-compliant when doing business with Walmart. By requiring EDI compliance from suppliers, Walmart ensures efficient and reliable data interchange, reduces human data entry errors, and improves overall supply chain visibility. Walmart and its suppliers use EDIINT AS2 as their EDI communication technique. EDIINT (Electronic Data Interchange-Internet Integration) is a protocol for the secure and standardized transmission of electronic business documents via the Internet. AS2 (Applicability Statement 2) generates an “envelope” for the EDI data, which allows it to be safely transmitted, sent, and received over the Internet via digital certificates and encryption.

These EDI formats are supported by Walmart:
  • ANSI X12 (American National Standards Institute)

    • UCS (Uniform Communications Standards)

    • VICS (Voluntary Inter-industry Commerce Standards)

  • EDIFACT (Electronic Data Interchange For Administration, Commerce and Transport)

EDI X12 data types

Walmart follows the UCS and VICS standards for paperwork in the US and Canada. EDIFACT is only applicable to suppliers outside the US and Canada who will directly import items for the company. EDI allows the transport of structured data in a format that both the sender’s and receiver’s computer systems can understand.

The EDI process consists of two important components: translation and communication. During the translation phase of EDI, a business document (such as a purchase order, invoice, tender, acknowledgement, or shipping notice) is translated from its native format to a standardized EDI format. In the communication phase, the newly formatted EDI document is electronically transferred to the intended receiver, usually over secure and established communication protocols like AS2 and SFTP.

Comprehensive Guide to become a Walmart Supplier

Businesses that want to use EDI must build up a methodology for both sending and receiving EDI messages from their trading partners. Walmart has specific requirements and criteria that suppliers must follow when executing business transactions via EDI by setting up a new EDI connection for each supplier in their supply chain. Walmart doesn’t mandate suppliers to have any particular EDI translation software. To connect to Walmart’s network, you can use any interoperable AS2 communication for the EDI transactions.

You can learn more about Walmart’s basic criteria in the section below.

  • To become a Walmart supplier, you must be EDI capable and employ a consistent AS2 connection for internet EDI transactions, which is the standard for security and dependability in internet and cloud-based EDI solutions.

  • To translate and communicate with EDIINT (AS2), specialized software is required. Therefore, procure and install computer software along with any required hardware, or choose a hosted solution with dynamic capacities, based on your long-term demands.

  • Once you have installed and configured your AS2 software, prepare all AS2 software information, including IP address, name, and certificates, and contact the Walmart EDI Implementation team at 479-273-8888 to set up the GEM mailbox.

  • After you’ve swapped certificates, your firm is ready to test AS2.

  • Before beginning EDI data testing, a supplier must first complete AS2 testing between Walmart and the supplier, which requires at least one file to be successfully transmitted and received in order to ensure connectivity.

  • Before evaluating EDI data, ensure that all internal flows have been tested and are functioning.

  • Before you start EDI data testing, ensure with your buyer or sales representative that you have active items that are listed with Walmart. You cannot test if you don’t have any active items.

  • All suppliers need to do EDI data testing through the Walmart Vendor Self-Testing Portal.

  • EDI data testing usually takes two weeks, with a maximum of six weeks for basic papers. Suppliers normally test all documents at the same time, and if testing takes longer than six weeks, suppliers must notify the team with an ETA and an explanation.

  • Suppliers must send functional acknowledgements within 24 hours of placing purchase orders; if unable to do so, they should contact the EDI Support Desk.

Walmart’s Most Common EDI Documents

Walmart expects suppliers to adopt basic standardized EDI transaction sets to facilitate communication of important business information. To communicate with Walmart, all suppliers should go through the complete testing procedure for them. The required transaction sets may evolve over time; here are some of the more common ones:

  • 810 Invoice
  • 812 Credits and Debits claims
  • 816 Address Listing
  • 820 Advice related to Remittance
  • 850 Purchase Order
  • 864 Text Message [ for invoice errors ]
  • 997 Functional Acknowledgement
